Create a membership transfer

Chapter leaders can initiate the transfer of a membership from your chapter to another chapter within your state or in a different state. Active memberships can only be transferred if they have a Local, State or Approved submission level status. Expired memberships can only be transferred if they do not have active memberships in any chapter and if you have authorization over the receiving chapter (e.g., you manage both the middle school and high school chapters).
Important

For a transfer to be completed, the receiving (inbound) chapter leader must approve the transfer request in Manage Membership Transfers. The membership will continue to appear on your roster until the request is approved.


Active membership transfer request

Create a transfer request for an active membership under Manage Memberships. Use Search and Advanced Search to locate the membership(s).

  1. Select Student or Alumni – The default is Student
  2. Verify the current Membership Year is selected– The default is the current year
  3. Verify your Chapter is selected – Your chapter should be the default unless you manage multiple chapters
  4. Narrow your search results by one or more of the following:
    • Submission Level Status
    • Grade
    • FFA ID
    • First Name and Last Name – Entered partially or completely
  5. Click Search
Tip

If your search does not produce the desired results, try narrowing or expanding your results by changing the search parameters. Example: Try different spelling variations of the first and last name.


With the membership(s) identified, you can now create a transfer request.

  1. Select Membership(s) to be transferred by one of the following methods:
    • Select checkboxes to transfer one or more memberships
    • Click the top-left checkbox to transfer all memberships on the current page
    • Choose Select all ## memberships to transfer all memberships on all pages – This option only appears when there are more than 20 memberships
  2. Click Gray X Icon to clear the State field – The default is Alaska
  3. Click Gray Down Triangle Icon to open the State drop-down menu
  4. Select a State
  5. Click Gray Down Triangle Icon to open the Chapter drop-down menu
  6. Select a Chapter
  7. Click Transfer Membership(s)
  8. Click OK to approve the action. Watch for a green success message at the top of the screen.
Tip

Transfers between chapters for which you have authority will occur immediately. No approval is necessary.

Transfer expired memberships (with authorization)

If you manage multiple chapters, you can immediately transfer expired membership(s) from one chapter to the other (e.g., transfer middle school members to the high school).

Use Search and Advanced Search to locate the membership(s).

  1. Select Student or Alumni – The default is Student
  2. Click Gray X Icon to clear the Membership Year field – The default is the current year
  3. Click Gray Down Triangle Icon to open the Membership Year drop-down menu
  4. Select the most recent past Membership Year
  5. Click Gray Down Triangle Icon to open the Chapter drop-down menu
  6. Select the outbound Chapter (g., middle school chapter)
  7. Narrow your search results by one or more of the following:
    • Grade
    • FFA ID
    • First Name and Last Name – Entered partially or completely
  8. Click Search

With the expired membership(s) identified, you can now create a transfer request.

  1. Select Membership(s) to be transferred by one of the following methods:
    • Select checkboxes to transfer one or more memberships
    • Click the top-left checkbox to transfer all memberships on the current page
    • Choose Select all ## memberships to transfer all memberships on all pages – This option only appears when there are more than 20 memberships
  2. Click Gray X Icon to clear the State field – The default is Alaska
  3. Click Gray Down Triangle Icon to open the State drop-down menu
  4. Select a State
  5. Click Gray Down Triangle Icon to open the Chapter drop-down menu
  6. Select a Chapter
  7. Click Transfer Membership(s)
  8. Click OK to approve the action
Transfer expired memberships (without authorization)

For expired memberships, you can create a transfer request after renewing the membership for the current membership year.

Use Search and Advanced Search to locate the membership(s) to be transferred.

  1. Select Student or Alumni – The default is Student
  2. Click Gray X Icon to clear the Membership Year field – The default is the current year
  3. Click Gray Down Triangle Icon to open the Membership Year drop-down menu
  4. Select the most recent past Membership Year
  5. Verify your Chapter is selected – Your chapter should be the default unless you manage multiple chapters
  6. Narrow your search results by one or more of the following:
    • Submission Level Status
    • Grade
    • FFA ID
    • First Name and Last Name – Entered partially or completely
  7. Click Search

With the membership(s) identified, you can now renew the membership(s) for the current year.

  1. Select Membership(s) to be renewed by one of the following methods:
    • Select checkboxes to renew one or more memberships
    • Click the top-left checkbox to renew all memberships on the current page
    • Choose Select all ## memberships to renew all memberships on all pages – This option only appears when there are more than 20 memberships
  2. Verify the current Membership Year is selected– The default is the current year
  3. Click Gray Down Triangle Icon to open the Membership Type drop-down menu
  4. Select a Membership Type
  5. Click Renew Membership(s)
  6. Click OK to approve the action. Watch for a green success message at the top of the screen.

Use Search and Advanced Search to locate the renewed membership(s).

  1. Select Student or Alumni – The default is Student
  2. Click Gray X Icon to clear the Membership Year field
  3. Click Gray Down Triangle Icon to open the Membership Year drop-down menu
  4. Select the current Membership Year
  5. Verify your Chapter is selected – Your chapter should be the default unless you manage multiple chapters
  6. Narrow your search results by one or more of the following:
    • Submission Level Status
    • Grade
    • FFA ID
    • First Name and Last Name – Entered partially or completely
  7. Click Search

With the renewed membership(s) identified, you can now create a transfer request.

  1. Select Membership(s) to be transferred by one of the following methods:
    • Select checkboxes to transfer one or more memberships
    • Click the top-left checkbox to transfer all memberships on the current page
    • Choose Select all ## memberships to transfer all memberships on all pages – This option only appears when there are more than 20 memberships
  2. Click Gray X Icon to clear the State field – The default is Alaska
  3. Click Gray Down Triangle Icon to open the State drop-down menu
  4. Select a State
  5. Click Gray Down Triangle Icon to open the Chapter drop-down menu
  6. Select a Chapter
  7. Click Transfer Membership(s)
  8. Click OK to approve the action. Watch for a green success message at the top of the screen.
