Disapprove or cancel memberships

As chapter leader, you can disapprove or cancel a membership within your authorization level.

Warning

A canceled membership will be deleted and no longer exist for the associated membership year. Yet, past memberships will still remain. A disapproved membership will return to a Local submission level status.

If the membership was previously submitted for approval, a membership batch with financial details would have been created. Therefore, disapproving and/or canceling a membership could have potential financial implications.

To disapprove or cancel a membership, the membership must not be past your authorization level. For example, a local chapter leader can change a membership type if the membership has not been approved at the state level (i.e., submission level status is either Local or State). A state leader can disapprove or cancel a membership if the membership has not been approved at the national level (i.e., submission level status is either Local, State or National). Once a membership has been nationally approved, only national FFA staff can disapprove or cancel a membership due to potential financial implications.

Begin in the roster system under Manage Memberships.

Locate memberships

Use Search and Advanced Search to find the membership(s) to either disapprove or cancel.

  1. Select Student or Alumni – The default is Student unless you only have Alumni responsibilities
  2. Verify the current Membership Year is selected– The default is the current year
  3. Verify your Chapter is selected – Your chapter should be the default unless you manage multiple chapters
  4. In Advanced Search, narrow your search results by one or more of the following:
    • Membership Type
    • Submission Level Status
    • Grade
    • Roster Method
    • FFA ID
    • First Name and Last Name – Entered either partially or completely
  5. Click Search

If your search does not produce the desired results, use the additional Advanced Search filters to narrow or expand your search parameters.

Disapprove memberships

With the membership(s) identified, you can now disapprove the membership(s).

Disapprove a single membership:
  1. In the grid area, click the Disapprove Icon for a specific membership
  2. Click OK to approve the action

Watch for a green success message at the top of the screen.

Disapprove multiple memberships:
  1. In the grid area, select Membership(s) to disapprove by one of the following methods:
    • Select checkboxes to disapprove one or more memberships
    • Click the top-left checkbox to disapprove all memberships on the current page
    • Choose Select all ## memberships to disapprove all memberships on all pages – This option only appears when there are more than 20 memberships
  2. In the Actions area, click Disapprove Membership(s)
  3. Click OK to approve the action

Watch for a green success message at the top of the screen.

Cancel memberships

With the membership(s) identified, you can now cancel the membership(s).

Cancel a single membership:
  1. In the grid area, click the  for a specific membership
  2. Click OK to approve the action

Watch for a green success message at the top of the screen.

Cancel multiple memberships:
  1. In the grid area, select Membership(s) to cancel by one of the following methods:
    • Select checkboxes to cancel one or more memberships
    • Click the top-left checkbox to cancel all memberships on the current page
    • Choose Select all ## memberships to cancel all memberships on all pages – This option only appears when there are more than 20 memberships
  2. In the Actions area, click Cancel Membership(s)
  3. Click OK to approve the action

Watch for a green success message at the top of the screen.
